• Booking & membership: plan type, room bookings, event registrations, billing details, usage history, preferences.

• Visitor management: arrival time, host name, purpose of visit (via Sine sign-in).

• Communications: emails, form submissions, support requests, feedback.

• Payments: amount, date/time and payment reference (processed by third-party gateways; we do not store full card details).

• Website & analytics: pages viewed, device/browser, IP address, general location, cookies and similar technologies (see “Cookies & tracking”).

• Event images (if applicable): photos or video from Y.hub events (we’ll let you know where consent is required).

How we collect information

• Directly from you (enquiry forms, email, phone, in person).

• When you book or register (website, Eventbrite, OfficeRnD, email).

• On arrival via Sine visitor sign-in.

• From public sources you publish (e.g., your website or public social profiles) if relevant to a booking, sponsorship or media request.

• Automatically through our website and tools (see below).

Why we collect and use your information

We use your information to:

• Provide services: manage desk/room bookings, memberships, event registrations and on-site access.

• Operate safely: visitor sign-in, incident response, compliance with building procedures.

• Communicate: confirm bookings, send service updates, respond to enquiries and support requests.

• Improve & report: understand usage, improve our services and spaces, analyse performance.

• Market (optional): send newsletters, event notices and offers (you can unsubscribe anytime).

• Legal & compliance: meet our legal, tax and reporting obligations and enforce our terms.

• Visitor sign-in: we use Sine for on-site arrivals so your host is notified and for safety/compliance.

Payments

Card payments are processed by secure third-party gateways (e.g., Stripe, Square or your organisation’s PO process). We receive confirmation of payment and related references but do not store full card numbers.

Sharing your information

We don’t sell your data. We may share personal information with:

• Service providers/partners who help us operate (e.g., OfficeRnD, Sine, Eventbrite, email/CRM, payment gateways, IT and security providers). They only access what’s needed to perform their services and must safeguard it.

• Government/regulators where required by law or to manage safety incidents.

• Professional advisers (legal, accounting) under duties of confidentiality.

• Successors/assignees in the event of a restructure or transfer of our operations.

Some providers may store data overseas. Where they do, we take reasonable steps to ensure they protect it in line with the APPs.

Data security & retention

We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. We retain information only as long as needed for our services, legal and reporting obligations, then de-identify or securely destroy it.

CCTV: If CCTV operates at the premises, signage will be displayed. Footage—where used—is for safety and security, stored securely and accessed only by authorised personnel or law enforcement where required.
